A printer may be print-only or a multifunction device with scan/copy functions. A copier may be a function of the same device or an office system with additional document handling. Choose by documented functions and workload, not a rule that every printer is print-only and every copier has a service contract.

Device classes and the questions that matter

Class Possible documented role Verify for the exact candidate
Single-function printer Computer/network jobs to paper Required media, duplex printing and network/security support
Desktop all-in-one Print, scan and copy; some also fax Platen versus ADF; automatic versus manual two-sided scan; destination support
Office multifunction system Shared document processing and optional finishing/configuration Exact installed options, scan/authentication workflow, media and duty expectations
Service arrangement Purchase warranty, extension, lease or separate support Written coverage, response, consumables, minimums and excluded work

For concrete distinctions, HP’s 9025e combines printing and scanning/copying, while Canon TR8620a distinguishes auto duplex print from manual two-sided scan. Xerox’s VersaLink printer/multifunction reference separately identifies C600 printer and C605 multifunction functions. None of these labels alone establishes your service contract.

Measure one representative workload

Record a normal month of black/color output, pages copied, one/two-sided originals scanned, required sizes, largest batch, destinations and the cost of an interruption. Keep the required job separate from an advertised maximum. A household scanning an occasional one-sided receipt and an office processing two-sided multi-page originals have different needs even at the same print volume.

Test the required workflow through documented support or a legitimate demonstration: what enters the feeder, how the second side is handled and where the file arrives. Do not claim a device meets a two-sided scan requirement merely because “duplex” appears elsewhere in its listing.

Compare written ownership terms

Term Ask for Avoid assuming
Consumables Exact compatible part and quoted delivered cost/yield basis Guaranteed cost from a brand slogan
Service Covered faults, response window, travel/labour and exclusions On-site help included with every copier
Contract Minimums, page counting, escalation, cancellation and return terms A per-page number is the whole bill
Software/security Supported operating system, destination and authentication Current compatibility from a legacy brochure alone

Xerox’s C600 service-agreement page illustrates that a printer can also have a separately specified service arrangement. It is a reference to terms, not a shopping alternative or endorsement of a contract. Get the actual agreement for the device and region before relying on coverage.

Use the exact inkjet comparison and download its cost worksheet for a small document-printing shortlist. Keep the worksheet’s quote dates, yields and assumptions visible. We have not benchmarked these machines, assessed a particular contract or calculated a financial saving for your office.
